TITLE: MONITORING ASSISTANT

CONTRACT TYPE: SPECIAL SERVICE AGREEMENT (SSA)

GRADE: SSA4

DURATION OF CONTRACT: THREE (3) MONTHS

DUTY STATION: KASULU SUB OFFICE

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. . A post-secondary certificate in the related functional area is desirable.
Language: Fluency in both oral and written communication in English language.

ORGANIZATIONAL CONTEXT

Under the overall supervision of the Head of Sub Office Kasulu and the direct supervision of the Programme Associate, the Monitoring Assistant is expected to produce organised and accurate technical work and reports and may provide guidance on standard practices to other staff and counterparts in their area of work.

JOB PURPOSE

To perform monitoring activities within a specific coverage area and provide reports to support the effective delivery of assistance packages.

KEY ACCOUNTABILITIES (not all-inclusive)

  • Co-ordinate and monitor the implementation of the WFP assistance programmes at the local level, in close collaboration with the implementation Partners.
  • Monitor and review the overall commodity movements such as food deliveries, storage, transport and distribution at the site ad verify if the amount received has been properly recorded, damaged or suspected to be damaged.
  • Oversee/conduct the distribution of food items for refugees at the sites and ensure proper distribution of entitlements and verify appropriate entitlements are distributed and provided feedback to Programme Officer and others on the distribution.
  • Assist in conducting regular meetings of refugee leaders and implementing partners  on the commodity pipeline, distribution arrangements, food entitlements and other relevant issues
  • Assist in the implementation of the plan of action, review achievement and constraints and provide feedback accordingly
  • Follow up to ensure that the food distribution reports are prepared and submitted to the supervisor on a timely basis.
  • Liaise with Warehouse staff on distribution planning and commodities dispatching from warehouse to distribution centers.
  • Ensure that all commodities entrusted to implementation partners arrive at distribution centers are properly accounted for
  • Report periodically to the Programme Officer on relevant events regarding food management, distribution and other related issues.
  • Ensure that distributions are carried out according to the ration scales approved
  • Identify potential problems in the programme and discuss remedial action with the project authorities or report to appropriate personnel
  • Supervise and train other personnel as appropriate
  • Perform any other related duties as required.
