Partners for Health Services and Research Foundation (PHSRF) is a non-governmental organization that was founded on demand-driven reasons for saving lives of Tanzanians. Formed out of former Angaza Zaidi program, a countrywide HIV and AIDS prevention and sensitization program under USAID that was implemented since 2001, PHSRF has accumulated over 15 years of hands-on experience in implementing HIV and AIDS prevention, sensitization and awareness raising projects across the country. PHSRF is legally registered by the United Republic of Tanzania under the Non-Governmental Organization ACT, 2002 with Registration Number ooNGO/R2/000103.

Job Title      :   Procurement and Logistic Intern
Reports To  :   Finance Manager.
Location      :   Dar es salaam

Duration      :  6 Months.

Job Overview
The Procurement Officer supports the PHSRF in procurement of goods and services for Phsrf office. The Procurement Intern will be responsible in ensuring that procurement procedures are followed in accordance to PHSRF Policies, rules and regulation.

Roles and responsibilities.

  • Ensure assets and property are effectively managed, asset list is updated regularly in asset data base and asset register and ensuring assets are disposed according to PHSRF and/or donor regulations.
  • Procure consumables and office supplies for PHSRF office.
  • Supplier Payments: Liaise with finance department for timely suppliers’ payments.
  • Provide technical advice on procurement fiduciary activities and lead policy dialogue on procurement.
  • Prepare requisition and purchase orders.
  • Coordinate the procurement and disposal activities of all department of procuring entity.
  • Prepares procurement proposal as required from time to time.
  • Dispatched invitation of the stock.
  • Perform any other duties as may be assigned by your supervisor

Education and Qualifications.

Bachelor degree in Procurement, with First or Upper Second Class is an added advantage.

  • Good knowledge and appetite to learn new things.
  • A good understanding of procurement, accounting and financial principles, with a high level of accuracy,
  • Ability to interact professionally with culturally diverse staff and clients within the context of groups and technical teams, Verbal and written proficiency in English and Kiswahili.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook)
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.

Job Overview.

The main responsibility to receive and issue supplies and equipment for the day to day PHSRF operations. Work closely with other departments, ensure cleanliness and arrangement of all store areas, keeping storage and receiving areas clean and tidy at all times.

 Duties and responsibilities.

  • Carrying out store operations which includes loading and a flooding of goods.
  • Carrying out daily cleaning and tidying of store areas.
  • Ensuring that boxes of goods are arranged properly on shelves.
  • Monitoring and take inventory on regular basis to compile orders.
  • Following standards for ensuing and receiving stock.
  • Maintaining clear and reorganized records.
  • Ensuring all store requests are signed.
  • Ensuring of Security in the store.
  • To produce monthly reports and returns in order that the management gets informed of the region performance.
  • To ensure stores data (in all forms) are kept and controlled to prevent fraud and misappropriation.
  • To ensure stock checking programs are maintained to the extent that the physical inventory agrees with the supply system records.

Education and Qualifications.

  • Bachelor Degree with First / Upper second Class in Store / Materials Management, Procurement or equivalent qualifications.
